JOB SUMMARY:
Under general supervision of the Business Services Director, this position ensures effective coordination of support services and resources to meet the enterprise needs and manages routine and ad-hoc projects. Provides staff support to the director and department managers. Serves as liaison to vendors and internal customers.

ESSENTIAL JOB FUNCTIONS:
Purchasing
• Coordinate and assists in the purchases of goods and services for all departments as requested including but not limited to processing/researching requisitions, reconciling invoices and processing check requests.
• Researches budget history and prepares reports, as requested, for departments, and related entities.
• Work with Purchasing Manager on print procurement jobs. Providing purchasing assistance as requested/needed including but not limited to printing requirements, proofs communicating critical changes in a timely manner.
• Prepare check requests and maintain an electronic record of payment.

Operations/Facilities Support
• Updates and maintains space management software
• Serves as lead on administration of service requests within enterprise and collaborates with other department team members
• Performs a variety of activities to support the development and implementation of operational and facilities needs by gathering information, identifying resources, reviewing scheduling, researching logistics, and coordination to facilitate project implementation.
• Coordinate the fulfillment of break/fix tickets and other physical space requests.
• Support Business Services Technicians with hospitality and mail processing when required.
• Work with Receptionist to ensure that requests are recorded accurately and tracked for completion

Administrative Staff Support
• Provide daily relief for receptionist.
• Researches budget history and prepares reports, as requested, for departments, AOMs and related entities.
• Develops and maintains department files. Recommends improved procedures to systematize record keeping functions.
• Maintains department files on internal drive.
• Provides reports of department activities as needed.
• Maintains department Share-point page.

Other duties and special projects as assigned – may undertake specific project or task responsibilities to ensure the fulfillment of department or association deadlines and obligations.

MINIMUM QUALIFICATIONS REQUIRED:
Education: Associates degree or equivalent experience: Three to five years’ demonstrated progressively responsible related experience to effectively coordinate operations, facilities and purchasing activities.

Related Work Experience: Computer and personal productivity skills to enable effective use of e-mail, the Internet, word processing, spreadsheets, presentation, and database packages.

• Research, analytical and problem-solving skills
• Skill in oral and written forms of communication to address inter-and-intra-departmental concerns, solve problems, and address conflict.
• Skill and ability to understand, interpret, follow, and apply organizational policy and procedure, external regulations, and other similar standards and requirements related to assignments and assigned departmental responsibilities.
• Flexibility is required, as is the ability to work independently without close supervision.
