Title Senior Administrative Assistant I

Description Provide administrative support to department leadership.


*Provide general administrative support. Create and manage department calendars; coordinate and set up department meetings; prepare and reconcile expense reports/purchase card statements; process and store invoices; handle travel arrangements for leadership; ensure leadership association memberships are up-to-date; prepare meeting materials; identify, maintain, distribute, and answer questions about ANA Scope and Standards publications; disseminate information to and between the department leadership, staff, and external clients or partners.
**Assist department leadership in establishing and maintaining a file system for the department. Set up and manage both electronic and paper filing systems. Ensure that file management is in compliance with all applicable record-keeping requirements.
**Order and maintain office and meeting supplies, prepare purchase requisitions, and perform periodic inventory audits. Assist department leadership with vault maintenance.
**Maintain and update written procedures pertinent to the position. Maintain all necessary documentation in support of ISO accreditation requirements.
**Perform other duties as assigned to support the department’s objectives and strategic goals.


Bachelor’s Degree or equivalent education and work experience. Experience with health care organizations or Associations a plus.

Related Work Experience
At least two years of Administrative/Office Assistant experience; as well as expertise using
Microsoft Office products. Skillful with office related products such as fax machines, copy
machines, and scanners.

File and inventory management; data entry and retrieval; oral and written communication; use of office computer software (e.g., Microsoft Word, Excel, PowerPoint); and public relations and customer service.
