General Statement of Duties:
The Process Development and Data Coordinator will support staff and students through a variety of tasks related to organizing and communication. Perform a variety of clerical and administrative duties for Machinist Training Institute (MTI), Apprenticeship and external partner programs including answering routine and non-routine correspondence with all levels of the organization, preparing student exit and entrance documentation, managing records, issuing reports and special assignments in support of ALL WDE programs and departments.

Major Duties and Responsibilities:
• Oversee and evaluate daily activities of student (i.e. attendance, class scheduling, time cards, student progress etc.)
• Input information accurately from a variety of sources into a computer database.
• Assist in writing of procedures for MTI methods and documents.
• Scheduling and organizing activities for WDE staff and students.
• Assist with implementation of new MTI training programs.
• Complete special assignments in support of MTI objectives.
• Maintain and update department reports and secure safe-keeping of records.
• Assist walk-in clients, and potential students with information about Focus HOPE training programs.
• Prepare reports of student progress to management on an as needed basis.
• Update course catalog, program guidelines, handbook as needed.
• Conduct class orientation and exit interview process.
• Set-up and record meeting minutes for management and staff.
• Write reports and record activities to ensure student progress towards specified program objectives.
• Order, retrieve and maintain classroom materials and office supplies.
• Assist with answering and directing calls daily.
• Providing daily administrative tasks in support of external partner programs.
• Weekly tracking of attendance in support of student stipend process.
• Customer Service Instructor for select WDE Programs.
• Create and administer student program surveys and tabulation of results.
• Proctor standardized certification assessments (i.e.; NIMS) and Admissions entrance program assessments (i.e.; TABE)
• Scheduling of WDE Department calendar
• Perform related duties as assigned.
• Professional appearance and etiquettes is a must.

• Ability to anticipate the needs of staff and prioritize tasks and respond promptly to assigned tasks.
• High level of interpersonal skills to work effectively with diverse backgrounds.
• High level of oral and written communication skills including telephone etiquette.
• Good presentation skills.
• Proficient in MS Excel and MS Word and basic computer applications (PowerPoint optional)
• Knowledge of word-processing and use of basic office equipment.
• Professional demeanor and work ethic.
• High level of organizational skills

Supervision Received:
Perform duties under the supervision of Director of Workforce Development & Education.
Requirements Education, Training and Experience:
Associates or Bachelor’s Degree in subject related field or equivalent years of experience
One year workforce development experience
