Title Apprenticeship Specialist

Description General Statement of Duties:
The position provides administrative support and follow-up as it relates to program operations, policy/document management, student matriculation, and engagement with external partners. The Apprenticeship Specialist will help administer resources and systems in support of the Apprenticeship program. This position will support tracking student progress, outreach activities, status reports, preparation and review of documents, file management, and other special assignments to achieve the objectives of the Apprenticeship program.

Major Duties and Responsibilities:
• Provide administrative support to ensure FH registered apprenticeship program remains in good standing and compliance with the Department of labor.
• Set up and effectively use administration systems and procedures to manage all aspects of the program (students, employers, partners, coursework, program flow, etc.).
• Develop an internal auditing process for all apprenticeship related documents, policies, etc.
• Prepare and collect documents necessary throughout full apprenticeship pipeline – student applications, assessment results, community college transcripts, employment verifications, etc.
• Support process to match employer to student with appropriate criteria, interviews, checkpoints, approvals, etc.
• Track and understand work schedules, class schedules, credentials earned, wages, etc. to ensure program meeting registered apprenticeship requirements.
• Collaborate with FH Apprenticeship team, Training and Education Program staff, and case managers to provide support as needed with identifying and resolving participant barriers to success.
• Monitoring, and tracking of all student activity, employer activity and completions of all required data, files, documentation and reports with timely submission.
• Participate in program outreach and recruitment and advocate for the apprenticeship model.
• Coordinate with internal and external partners for status meetings, progress reports, process improvements and other support as needed.
• Develop and maintain effective relationships with program participants.
• Other duties as assigned by management.

Skills and Abilities:
• Strong commitment to civil and human rights.
• High level of oral and written communication skills including telephone etiquette for all audiences.
• High level of interpersonal skills to work effectively with others and build internal and external relationship
• Ability to relate to persons from diverse socio-economic backgrounds.
• Proactive and able to assess issues and contribute to solutions.
• Ability to anticipate the needs of staff, and prioritize tasks and respond promptly to assigned tasks.
• Excellent documentation and file auditing skills.
• Ability to work independently and/or with a team.
• Excellent organizational skills.
• Experience with GSTARS, Sharepoint, RAPIDS, ATS or Appian is a plus,
• Proficient in Microsoft Office (specifically in Word, Excel, Powerpoint applications)
• Ability to gain commitment and motivate others to achieve their goals.

Education, Training and Experience:
• Associates Degree in subject related field or equivalent years of experience.
• Minimum 3 years of related experience
• Previous program administrator experience preferred.

Supervision Received:
Performs duties under the supervision of the Apprenticeship Manager
