ORGANIZATION SUMMARY:

Plymouth Christian Youth Center (PCYC) is a nonprofit 501(c)(3) community-based organization with a 63-year history of providing services to youth, families and individuals on a non-sectarian basis. PCYC’s mission is to enrich the skills, prospects and spirit of North Minneapolis youth and adults, in partnership with families and communities.  This mission is carried out through an array of award-winning programs, including PYC Arts and Tech High School, Out-of-School Time programs, and the Capri Theater. POSITION SUMMARY:

This position supports all agency programs, and serves several important functions: (a) host and first point of contact for visitors and constituents; (b) internal and external communications hub; (c) safety and security, and (d) clerical assistance as needed and assigned. The person in this position acts as a liaison between agency programs and students, families, community members, and other key stakeholders who visit PCYC buildings for day-to-day business and special events; and must be friendly and professional at all times.

 

JOB RESPONSIBILITIES:

  • Greet, assist, and direct visitors and oversee visitor sign-in.
  • Build high quality, professional relationships with PCYC scholars, families, staff, youth interns, vendors, volunteers, and visitors.
  • Assist in creating a joyful, respectful, and healthy atmosphere and environment.
  • Maintain a presentable reception area.
  • Assist with special events and other agency-wide activities or agency program promotions as needed and assigned.
  • Answer calls on multi-line phone system; take messages and routing calls.
  • Notify staff of visitor arrival.
  • Answer general questions about the agency and programs.
  • Monitor and authorize entrance and departure of employees, volunteers, students, participants, and visitors. • Ensure that building entrance is secured.
  • Maintain up-to-date list of resources for emergency services and referrals.
  • Be alert for persons engaging in prohibited behavior on the property.
  • Safeguard privacy of student data and records.
  • Call police or fire departments in cases of emergency.
  • Assist with mail, faxes, data entry, copying, word processing, compiling documents, service calls, and other clerical duties as needed and assigned.
Requirements

REQUIRED QUALIFICATIONS:

Education and Experience

  • High School Diploma or GED required.
  • One year experience as a receptionist.
  • Prior experience working in a school setting desirable.
  • Prior experience working in a nonprofit environment desirable.

Knowledge, Skills and Abilities:

  • Good judgment and the ability to assess situations and solve problems.
  • Ability to effectively respond in emergency situations.
  • Effective verbal and written communications skills.
  • Ability to operate a multi-line phone system.
  • Knowledge of Word, Excel, Skype, and Outlook is essential.
  • Understanding of database system concepts, and the ability to learn, navigate, and use them.
  • A higher level of interest in and knowledge of information technology tools is especially desirable.
  • Knowledge of office functions and equipment.
  • Excellent internal and external customer service and relationship skills.
  • Ability to remain calm and professional under stressful circumstances.
  • Ability to be punctual and dependable.
  • Ability to work independently with moderate supervision.
  • Ability to be flexible.
